Email/Instant Message/Voicemail Retention Policy

Maintaining electronic communications in business involves walking a fine line. Employees want relevant information to be kept available for future reference so that they can do their jobs, but keeping these items long-term can pose security and resource risks.

The purpose of this policy from TechRepublic Premium is to establish requirements for the retention and destruction of company electronic communications.

From the policy:

Employees should be instructed that they are responsible for saving any content with a business within their dedicated archive folder for a period of time beyond the standard retention period outside of the email, instant messaging and voicemail environment.

Employees will not have the ability to create any additional offline archive folders (such as within Outlook .pst files) within the environment, but they should be instructed on how they can save emails in an archive folder provided to them.
